ProjectShare module description Minimize
Project Share is designed in modules that can be added when needed.
Adept ProjectShare allows you to create multiple Companies (Branches) in the system. Ie if your organization consists of several companies in different cities or countries, you can create multiple departments for each company or branch. Department structure can be either flat or hieratical. You can also assign a manager for each department.

In Adept ProjectShare, it is possible to create unlimited types of projects and tasks either directly or import them from MS Project fast and easy. You can categorize the projects in groups such as customers, External projects, internal projects, etc.

You can enter the activity name, start/end dates, and assign them to one or more resources. You can also add budget to each assignment.

If you are a "HardCore" Project manager and using MS project 2003/2007 professional, you can create your project in MS Project and then publish your project to projectshare

Once the projects and activities are created, the employess can see them on the timesheet and begin to enter the spent actual hours.
The employee can also see the budget and remaining hours for each assignment. Time Manager ensures that the tasks are displayed for assigned user within the task start and finishdate.

Realtime ScrumBoard is a new feature added to Adept Projectshare. With realtime Scrumboard, the team can begin to create Product backlog on a Realtime and Interactive Scrumboard. The scrumboard is REALTTIME this means every team memeber can look at the scrumboad, from anywhere in the world Online and realtime.

 ProjectShare calendar system consists of at least one calendar and one standard time-table.
The calendar contains all Brithish holidays with the option of adding multiple custom holidays.

It also allows you to add new calendar/standard time-table and assigning it to the employees.

Example: You can create calendar/standard times for employees who have a other employment agreement, for example 32.5 or 29 hours per week.

All holidays in the calendar can be seen in the timesheet immediately after creation and can be imported into the MS Project 2003/2007.

Create customized Working time-table , Here you can define working hours per week (Monday-Sunday) with various workinghours per day.


Ex: 7t Monday, Tuesday 7t, 7t Wednesday, Thursday 0t, 0t Friday, Saturday 0t, 0t Sunday.

Once all Projects and activities are created, it can be seen on each assigned employees timesheet.
Here the staff and the external resource can enter the spent.

Timemanager is the core-engine of business rules that ensure that timesheet calculate the project/task hours correctly based on work-timetable, holiday, task budget and many other business rules.

Timemanager is consists of:

  • Timesheet: The timesheet is the sheet, where the employees can enter their spent hours. Here they can enter hours on each task such as (customer tasks, internal tasks etc or administrative tasks such as meetings, sickleave, vacations, etc.
  • Calendar/Work - timetable: Projectshare has an standard a calendar consists all the country hollidays based on your choice of the country and also an standard work timetable in the system. The standard calendar is assigned to each user per default.Howeever you can add more custom calendar and working-timetable to system if is required. You can assign these custom calendar/Work Timetables to the employees with different employments contract. 
  • Budget control: is a very usefull controlling tool implemented in the timemanager core engine. With this feature you can make sure that your employees do not spend more hours on activites which has an assigned budget.
  • Notes: The employee can write a note On each task per day.
  • Deviation and Total: Week/day totals are automatically calculated. If hours exceed the employee time-table, the deviation will be calculated and shown in the deviation row. Here, the employee can enter the difference in Flex hours or overtime box. If the work is based on a percentage rate, will the work be calculated
  • Approval: Approval make sure, that the timesheet is without errors before it is sent to the manager. The timesheet is error free if employee has filled the daily hours correctly and is conistent with the dailt time-table.

 

Approval module enables you to obtain a more accurate registration hours by employees. When employees have entered the spent hours into the timesheet for each week, they can submit it for approvement by the manager.

Timemanager checks the timesheet for error validation. The error occurs if the timesheet is not filled correctly and employee must enter, what his/her daily hours are spent on based on work-timetable.

Time Manager displays an error to the user exactly, on whichday the error occurs and why.

When the errors are corrected, then timesheet can be sent for approval, Timemanager locks the timesheet.

When once the manager opens the approval page, the manager can immediately see, which of his/her employees has not sent the timesheet for approval, in one userfriendly status picture.

The manager can send email to one or more employees for notification directly from the page. 
The manager can also approve all the users or one by one from this page. 
 

Using the Report module you can see how how the hours are shared between tasks and activities of the company.You can choose between using standard reports or dynamic reports.

Burndown Charts is used for Agile Projectmanagement and scrum. and it uses the data to create 3 types of lines, Projected Progress, Actual Progress and Forecast Progress.

Dynamic reports allow you to choose which fields you want to see in the report. When you define the cells that the report will consist of, you can save a template of this type of report.


                  

 

Integration med MS Project 2003/2007

 Almost every project manager is familiar with MS Project and use it as a project management tool.
With Projectshare Addon you can connect MS project 2003/2007 professional with your employees. The following are the features available in Projectshare Addon:

 

  1. Importing company calendar to MS project.
  2. Importing resources to the MS project.
  3. Importing resource calendar to MS project.
  4. Importing resource absences to MS project.
  5. Publishing the project plan: This will publish every assignment. Resources can enter the hours in the “hours” sheet of the project share.
  6. Import of "actual" current hours: posted hours and overtime hours in the project
    can be downloaded back to MS Project here and used for tracking.
  7. Imports of residual history: Resources can enter the "remaining work" in ProjectShare and read directly from MS Project. Here the project manager must approve the changes before they are imported into MS project.
  8. Export of Baseline reporting.:
